The useful distinctions

  • Unavailable media can be held in library trash.
  • Restoring the file at the expected location can restore the entry before trash is emptied.
  • Empty Trash removes that automatic restoration path.
  • Automatic emptying after scans can remove entries immediately.

Determine whether absence is intentional

A disconnected archive and a deliberately removed recording can look similar in a library view. Start by checking the expected path and the state of the storage location. If many unrelated titles become unavailable together, investigate the common location before making catalogue changes. Keep a brief incident note so an accidental scan during an outage is not later mistaken for a planned removal.

Preserve the recovery opportunity

A held entry can retain useful catalogue work while its file is temporarily absent. Reconnect or restore the expected location first when the absence is accidental. Review automatic trash behavior before moving a collection or performing storage maintenance. The worked example treats an offline archive as a storage event and deliberately avoids any cleanup until its availability has been resolved.

Use narrow cleanup for intentional removal

When removal is genuinely intended, review the affected library and the items that will be discarded from its trash. Keep configuration and media backups appropriate to your recovery needs. Do not confuse library trash with a general-purpose backup of the original media. A cleanup confirmation should follow an understood removal decision, not be used as a way to make an unexplained warning icon disappear.

A focused way to proceed

  1. Inspect the affected item’s expected path and storage availability.
  2. Restore an unintentionally unavailable location before cleanup.
  3. Review the server’s automatic trash preference.
  4. If removal is intentional, use the selected library’s Empty Trash action and confirm its scope.

Worked example · synthetic

Archive drive temporarily unavailable → restore location first
One film intentionally retired → scan, review trash, then empty only intended library
Before relocation → inspect automatic-empty preference

Read the comparison

Emptying library trash is catalogue cleanup; it cannot recover a missing original file.

When to stop or ask for help

If a whole source disappeared, involve the storage administrator and preserve library state before further cleanup.
