The useful distinctions
- Scanning discovers changes in library files.
- Refreshing revisits metadata for existing items.
- Automatic filesystem detection generally does not cover mounted network shares.
- Periodic library updates are an alternative discovery mechanism.
Identify the changed layer
A new recording, a revised poster and a corrected plot are different maintenance events. Start by naming the layer that changed instead of using update as a catch-all description. The smallest useful action is easier to verify and puts less unrelated work into the server queue. Keep a note of the action chosen when maintaining a collection that is not changed every day.
Account for the storage arrangement
A locally attached directory and a mounted network share can behave differently when the server waits for change notifications. If files appear only after a manual scan, check whether notification-based detection is appropriate for that storage. A periodic scan can express a predictable discovery policy. Choose its interval according to how often new authorised files arrive and when the server is normally available.
Verify the expected outcome
After the operation, inspect the new file or revised item directly. A completed progress indicator only establishes that a task ended. It does not show that the correct directory was scanned or the intended metadata field changed. If the same file remains absent, inspect path visibility and naming before repeating larger scans. If a field remains unchanged, check whether it is locked or supplied by a different metadata source.
A focused way to proceed
- Classify the change as file discovery or metadata revision.
- Use Scan Library Files for newly added or removed files.
- Use Refresh Metadata for the intended existing item when its assets or metadata changed.
- Review automatic versus periodic scan settings for the actual storage type.
- Check one affected item and recent library activity.
Worked example · synthetic
New local clip → Scan Library Files
Existing movie gains poster.jpg → Refresh Metadata for that movie
Mounted archive lacks notifications → assess periodic scanning policyRead the comparison
A scan that adds nothing may be correct when the only change was an existing item’s metadata.
